Terms of rental agreements

  • We request that only one contact person per organization is designated for all coordination with Stimson on meeting logistics.
  • The Stimson Center requires that a list of guests, as well as a meeting agenda, be provided at least 24 hours before a function. Please also inform us of any speakers, dignitaries, or VIPs who will attend the meeting and may have special security needs. For evening functions, a Stimson staff member will be on hand to ensure access to the 12th floor via elevators.
  • Please note that the Stimson Center prohibits smoking in any of its facilities and also prohibits any partisan political activities on its premises.
  • The Joint Room can be broken down into separate breakout rooms at a reduced rate - as long as the space(s) have not already been reserved.
  • Meetings that run beyond the pre-scheduled time will be billed at 50% above the total fee for the subsequent rental by the same organization.
  • In the case that rooms are cancelled within one week of their scheduled use, a charge of 50% of the total fee will be applied. This also applies to reservations confirmed or booked within one week of use.
  • Before the event, an invoice will be sent to the event coordinator for the room rental and 50% of the total fee must be paid at that time. The balance will be due within 10 days of the event. A second invoice will be sent for additional services (such as A/V equipment, etc.), with the amount due in full within 10 days of the event.
  • All Stimson Center events must conclude by 10:00 p.m.
  • The Stimson Center follows the federal government's policies on closing in case of inclement weather or other conditions.
