Terms of Rental Agreement

The following rules govern use of Stimson meeting space. Renting organizations agree to abide by these rules as a condition of use.

-          We request that only one contact person per organization is designated for all coordination with Stimson on meeting logistics. That designated person must be on-site throughout the rental period.

-          Due to the security requirements of the building, a list of guests and a meeting agenda must be provided at least 24 hours before a function. Please also inform us of any speakers, dignitaries, or VIPs who will attend the meeting and may have special security needs. For evening functions, a Stimson staff member will be on hand to ensure access to the 8th floor via elevators.

-          The Stimson Center prohibits smoking in any of its facilities and also prohibits any partisan political activities on its premises.

-          The Joint Conference Room can be broken down into separate breakout rooms, if agreed upon 24 hours in advance.

-          Meetings that run beyond the pre-scheduled time will be charged an additional $250.

-          The rental fee must be paid in full prior to the start of the rental.  Unpaid bookings will be cancelled without notice.  Cancelled reservations will receive a 50% refund of the total cost of the rental.  Reservations cancelled within 72 hours forfeit any refund.  If a cancellation is due to a regional or national disaster, including extreme weather conditions, the renter will receive a full refund or the opportunity to reschedule according to room availability.

-          The Stimson Center follows the federal government's policies on closing in case of inclement weather or other conditions.

-          A separate check in the amount of $300.00 is required as a refundable security deposit.  The Center reserves the right to assess a fee if the meeting facility or its equipment is damaged or otherwise not returned to its original condition. We will mail the check back to the renter following our inspection and the satisfactory condition of the space.

-          All events must conclude by 10:00 p.m.
